Administer your unit

Once your WebCT unit is established, you play an important role in ensuring it is available and functioning properly for the right people at the right time.

At the end of a teaching period, Teaching and Learning Centre (TLC) 'deactivates' units so that past students no longer have access. This allows time for the unit to be prepared by the Unit Coordinator (UC) for the next cohort of students.

Request to run unit in next teaching period
TLC Sends a reminder email to staff about 4 weeks prior to new teaching period.
UC Submits an online request for a WebCT unit from WebCT Login Page.

Preparation of unit for next teaching period
UC Backs up the past unit to capture student results, discussion, presentations etc.
Resets the unit. This deletes student records and clears discussion and email.
Updates unit information and schedule. See "How to include your Unit Information and Learning Guide in a WebCT unit".
Amends or improves the unit to reflect student feedback, currency, quality.
Addresses copyright.
Advises TLC that the unit is reset.
Advises TLC if there are students who are not enrolled via Callista.
TLC Provides assistance with educational design and production services on request.

Making units accessible to current staff and students
UC Notifies webct@murdoch.edu.au of staff who are to be given access and the type of access - Designer, Marker/Grader or Tutor.
TLC Provides additional staff with access.
Activates units for student access 2 working days prior to requested activation date (normally the start of a teaching period.)

Providing information to students
UC Informs students about
- accessing the unit via MyWebCT
- Getting Started with WebCT
- the IT Service Desk: 9360 2000, ITservicedesk@murdoch.edu.au
which should be the first point of call for all student queries

Deactivating a unit – making it inaccessible to students
TLC Denies student access to a unit at the end of a teaching period after their final grade for the unit has been entered on Callista.
A unit will remain available until all student results have been finalised and cannot be reset.

Backing up
UC Backs up the unit regularly to save new input such as discussion and student results.
TLC Ensures WebCT system is backed up regularly.
Backs up a WebCT unit to DVD after all marks have been entered for the unit. This version of the unit can then be requested again.

Students who are not enrolled via Callista

Murdoch hosts some WebCT units for groups who are not enrolled Murdoch students (non-standard units, research groups). The students' details will have to be entered manually by TLC. Please supply the names and email addresses of all students to webct@murdoch.edu.au

TLC will send details of logins and passwords to the Unit Coordinator for distribution to students.
